Reservation & Cancellation Policy

WHY WE REQUIRE NON-REFUNDABLE DEPOSITS:

  • When you book a tour with us, we commit to you by blocking off our calendar, and declining other tour requests. 

  • Organizing tours is time consuming, as there are many details to work through including van rentals, making sure there are guides available, making restaurant reservations for large groups or events etc.  We also take the time to write your tour onto our website, so you have somewhere to refer to.  

  • Many hotels require us to make a deposit.  We also pay deposits for the van rental, events etc.  These are often non-refundable for us.

  • We pay high banking fees, including the processing fees for Stripe, banking fees to our bank, and more fees to access cash so we can pay for things.

RESERVATION POLICY FOR GROUP TOURS:

 

  • To confirm your tour, we require a 50% non-refundable deposit.

  • The balance is due 8 weeks prior to your start date.

  • If you are booking a tour within that 8 week period, your tour must be paid in full.

  • If you cancel within the 8 week time period, we will refund you whatever inclusions we won't need to cover, such as meals that are included, entrance fees, activities, etc.  Some hotels may offer a refund, but some will not.  We work hard to keep our guests happy, and will certainly do our best for you.  

The reason we cannot refund the full balance within an 8 week time period is because we have quoted other travelers a price based on how many guests we have.  Cost-sharing is beneficial for bringing travel expenses down for everyone, but it also means we need a solid commitment.  With 8 weeks notice, we have a chance to find another traveler - in which case we will refund you the full tour minus 20% to cover our time and banking/processing fees.

RESERVATION POLICY FOR PRIVATE TOURS:

  • To confirm your tour, we require a 50% non-refundable deposit.

  • The balance is due 2 weeks prior to your start date.

  • If you cancel your tour within 2 weeks of your start date, we will refund 50% of the tour cost, minus the banking & processing fees.

The reason we can refund some of your money for a private tour, is because nobody else is relying on you for cost-sharing, which means the entire tour is cancelled.  We reserve the right to keep 50% of the deposit to cover our own expenses and time, as well, to pay the guides who have turned down work due to being committed to you.  If we are refunded our hotel deposits, we will also pass that refund to you.  

YOU MAY TRANSFER YOUR TOUR:

If you are cancelling your tour, but have a family member or friend who can take your place, please make sure there aren't any age restrictions on your tour that would be in conflict.  We do have family-friendly tours, as we love including children, but some of our tours are adult-only.

In the event that we can find someone else to take your place, we will refund you the full tour price, minus 20% to cover our time and  banking/processing fees.
